JOB ADVERT – PLANT & EQUIPMENT OPERATIONS ADMINISTRATOR

The company is committed to operational excellence, safety, and the efficient management of plant and equipment resources across its projects.
To strengthen its Plant & Equipment Department, Mangethe Group seeks to appoint a competent, organised, and results-driven Plant & Equipment Operations Administrator to support the effective management, coordination, and administration of the company’s fleet.
2. POSITION OVERVIEW The Plant & Equipment Operations Administrator will play a key role in coordinating fleet administration, equipment logistics, maintenance tracking, operational reporting, and plant cost monitoring.
The position ensures that equipment utilisation, movement records, maintenance schedules, and operational data are accurately captured and reported, enabling effective decision-making and optimal utilisation of plant assets.
3. KEY RESPONSIBILITIES
3.1 FLEET ADMINISTRATION & DATA MANAGEMENT
- Maintain and update the plant and equipment asset register.
- Capture and track equipment utilisation hours and operational data.
- Maintain equipment service history and maintenance records.
- Track equipment breakdowns, repairs, and service schedules.
- Maintain records for equipment licensing, insurance, and statutory compliance.
3.2 EQUIPMENT LOGISTICS & MOBILISATION
- Coordinate equipment mobilisation and demobilisation between project sites.
- Prepare and monitor equipment movement documentation and dispatch records.
- Liaise with transporters, operators, and project teams to ensure efficient deployment of equipment.
- Monitor equipment allocation and utilisation across projects.
3.3 WORKSHOP ADMINISTRATION & MAINTENANCE COORDINATION
- Record and track workshop job cards and maintenance activities.
- Monitor preventive maintenance schedules and service intervals.
- Track spare parts issued and maintenance costs per machine.
- Maintain accurate workshop repair and maintenance records.
3.4 FLEET COST MONITORING
- Capture and track plant operational costs including:
- Fuel consumption
- Maintenance expenses
- Spare parts usage
- Equipment repair costs
- Support management in monitoring fleet efficiency, equipment productivity, and cost control.
3.5 OPERATIONAL REPORTING
- Prepare and submit operational reports including:
- Daily equipment utilisation reports
- Weekly plant performance summaries
- Monthly plant performance reports
- Equipment breakdown and maintenance reports
- Fuel consumption analysis
- Equipment availability and downtime reports
- Ensure accurate and timely reporting to management.
3.6 FUEL MONITORING
- Track fuel issued to equipment and vehicles.
- Monitor fuel consumption against machine utilisation hours.
- Identify and report fuel variances or irregularities.
3.7 OPERATIONAL SUPPORT
- Drive company vehicles for official duties when required.
- Support equipment mobilisation and spare parts delivery.
- Assist with site inspections and plant verification exercises.
3.8 BASIC MECHANICAL SUPPORT
- Conduct basic equipment inspections.
- Assist mechanics with minor servicing tasks where required.
- Report mechanical faults and equipment defects.
4. MINIMUM REQUIREMENTS
4.1 QUALIFICATIONS
- Degree/Diploma or Certificate in any of the following fields:
- Logistics & Transport Management
- Mechanical Engineering
- Any Certificate or traceable reference in Accounting / Finance
- Any Certificate or traceable reference in Business Administration
- Valid driver’s licence.
- Equivalent relevant practical experience may be considered.
4.2 EXPERIENCE Applicants must have:
- Minimum 3 years’ experience in fleet administration, logistics coordination, or plant operations.
- Experience working with construction plant or heavy equipment.
- Experience in data capturing, reporting, and operational record management.
- Experience in the construction or infrastructure sector will be an added advantage.
