VACANCY ALERT – HUMAN RESOURCE AND ADMINISTRATION OFFICER


JOB TITLE: Human Resource and Administration Officer

DEPARTMENT: Finance and Administration

LOCATION: Manzini

REPORTING TO: Finance and Administration Manager


QUALIFICATION AND EXPERIENCE

  • Bachelor’s Degree in Human Resource Management, Business Administration, or a related field.
  • Minimum of 2–3 years’ experience in a Human Resource and/or Administrative role.
  • Proven experience in handling HR functions such as recruitment, employee records, and performance management.
  • Experience in office administration and front desk management will be an added advantage.
  • Knowledge of local labour laws and HR best practices.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Experience working in an NGO or donor-funded environment is an added advantage.
  • Strong record-keeping and report-writing skills.

PRIMARY RESPONSIBILITY AND OBJECTIVE OF POSITION

The Human Resource and Administration Officer will provide comprehensive human resource and administrative support to ensure efficient and effective management of staff, organizational processes, and office operations, in line with organizational policies and applicable labour laws.


KEY RESPONSIBILITIES

  • Support the end-to-end recruitment process, including drafting job descriptions, advertising vacancies, coordinating shortlisting, scheduling interviews, and communicating with candidates.
  • Facilitate onboarding and induction processes to ensure new employees are effectively integrated into the organisation.
  • Maintain accurate and up-to-date employee records, including personal files, contracts, leave records, disciplinary records, and performance documentation.
  • Assist in the implementation and monitoring of HR policies, procedures, and staff regulations to ensure consistency and compliance.
  • Coordinate performance management processes, including appraisal schedules, tracking submissions, and filing completed evaluations.
  • Support payroll input processes by verifying attendance, leave records, and staff changes for accurate payroll processing.
  • Handle employee queries related to HR policies, benefits, leave, and employment conditions in a professional and timely manner.
  • Assist in managing employee relations matters, including grievance handling, disciplinary processes, and conflict resolution support.
  • Coordinate staff training and development initiatives, including identifying training needs, arranging logistics, and maintaining training records.
  • Ensure compliance with national labour laws, employment standards, and organisational HR policies.
  • Serve as the first point of contact for visitors, clients, and stakeholders, ensuring a professional and welcoming reception at all times.
  • Manage office correspondence, including emails, letters, reports, and internal communications.
  • Coordinate logistics for meetings, workshops, and events, including venue booking, invitations, catering, and documentation.
  • Prepare agendas, take minutes during meetings, and circulate action points to relevant staff.
  • Carry out other duties as assigned by the supervisor.
