Qualifications & Experience

  1. Bachelor’s degree
  2. Minimum of 2 years’ experience in relevant industry

Job Responsibilities

  1. Ensure that all student files and documentation are accurately maintained and updated with the correct status of each student record at all times.
  2. Assist the Supervisor in planning and coordinating student registration and confirmation processes each semester.
  3. Coordinate and support all assessment and examination operations in collaboration with the Supervisor and relevant stakeholders.
  4. Prepare examination schedules, examination packs, seating arrangements, and ensure examination venues are fully equipped and ready for use.
  5. Ensure the secure, efficient, and compliant administration of internal and external examinations, including online examinations conducted at the testing centre.
  6. Invigilate examinations and ensure adherence to examination regulations, policies, and procedures.
  7. Coordinate examination marking, moderation, and accurate capturing of attendance and marks in institutional systems.
  8. Administer Turnitin and other plagiarism detection systems, including assignment setup, report verification, and case management.
  9. Provide guidance and counselling to students on academic honesty and plagiarism-related matters.
  10. Investigate, document, and report examination misconduct cases in line with institutional procedures.
  11. Prepare and maintain accurate reports relating to enrolment, student records, reconciliation, attendance, and other registry operations.
  12. Ensure the accuracy, integrity, confidentiality, and maintenance of institutional data across all relevant systems.
  13. Coordinate student registration and enrolment activities.
  14. Manage the printing, distribution, and record-keeping of student certificates while ensuring accuracy and confidentiality.
  15. Coordinate batch scheduling processes and ensure approved schedules are accurately captured in CampusNexus.
  16. Provide technical and system support to staff, including user profile management, troubleshooting, and system training.
  17. Promote effective utilisation of institutional systems to minimise manual processes and improve operational efficiency.
  18. Manage room booking schedules and provide support for campus facility coordination.
  19. Monitor and maintain accurate student attendance records and generate attendance reports as required.
  20. Ensure compliance with Quality Management Systems (QMS), departmental policies, KPIs, and operational procedures.
  21. Monitor and resolve GLPI incidents and support tickets within agreed service level agreements (SLAs).
  22. Identify opportunities for process improvement and recommend system enhancements to improve departmental operations.
  23. Support departmental budgeting processes and administrative functions as required.
  24. Act on behalf of the Supervisor when required and perform any other duties assigned from time to time.
