JOB PURPOSE

To control and maintain accurate movement of inventory, and to co-ordinate availability and accuracy of stock levels in order to ensure customer needs are met. Must further maintain service levels to customers whilst minimizing costs and adhering to safety and quality standards.


KEY ACCOUNTABILITIES

FINANCIAL SUPERVISION

  • Reconcile the delivery schedule sheet with Proof of Delivery returned.
  • Reconcile the POD’s with the account’s copies.
  • Sign for all stock leaving site with Security and handover to the driver.
  • Check proof of delivery upon arrival before submission to accounts (check customer stamp, is credit required, short/over supply) and investigate deviation. Complete the delivery schedule sheet.
  • Reporting of damages and submitting completed reports with investigations to General Manager.
  • Reduce pallet cost by ensuring that pallets are returned to Chep monthly.
  • Lead, monitor and oversee cycle counts across the company, investigate variances and take corrective action.

SERVICE DELIVERY

  • Overseeing and ensuring proper loading of stock and in accordance with invoices.
  • File the Delivery Schedule Sheet and Load handover Form for ease of access.
  • Signing the Load Handover Form.
  • Follow up with trade customers when goods for collection have not been collected within one week; the Warehouse Controller hands the invoice to the General Manager who calls the customer concerned.
  • If the goods are not collected within the next seven days, the goods are returned to stock and a credit note issued in favour of the customer, except in the case of specially tinted product.
  • Checking of stock before loading into trucks – check quality (damage & cleanliness) and quantity and handover to the driver thereafter.
  • Plan for daily tinter requirements against back orders.

INVENTORY MANAGEMENT

  • Report all stock returns to the stock controller.
  • Where the product is loaded incorrectly, the Warehouse Controller has the driver to sign on the invoice that the product has been incorrectly loaded (Handover).
  • Take part in Cycle counts and Stock-Take as directed by management.
  • Report all delivery discrepancies to the General Manager.
  • Register and invoice all pallets going out of site (to customers/Factory).
  • Submit all manual invoices for pallets returned and not returned to the Invoicing clerk for invoicing in the system for the ones not returned.
  • Ensure damaged pallets are returned to Chep within a week.
  • Weekly submit pallet status report to the warehouse coordinator.
  • Weekly do cycle counts for pallets and colourants.
  • Weekly destock used colourants for all locations.
  • Daily count the stock loaded on the trucks before leaving.

SUPERVISION OF WAREHOUSE TASKS

  • Leading tinting – tint, analyse miss tints and do root cause analysis for miss tints, colour matching, develop a training plan to impart knowledge to the tinting team.
  • Schedule tinting – trade and bulk customers.
  • Monthly report tinted volumes per SKU and bases.
  • Ensures that all invoices are collected, and orders assembled at regular intervals throughout the day.
  • Checks the goods against the invoice before loading.
  • Check the truck and complete necessary documents before the truck leave site.

ADHERENCE TO SHEQ REQUIREMENTS

  • Support SHEQA initiatives and compliance to Corporate Occupational Health & Safety Management System.
  • Deliver BBS and near as per the strategy target and ensure the team comply with strategy.
  • Reporting of incidents on time, spillages, injuries.
  • Participate in incident investigation.
  • Daily do inspection for; racks, forklift and tinting equipment.
  • Daily do inspection for trucks being loaded.
  • Inspect pallet wrap strength before loading stock.
  • Maintain warehouse housekeeping standards.
  • Weekly inspection of HSE tools, e.g. spill kit, first aid box, eye washes, fire extinguishers.

EXPERIENCE

  • Minimum O’ Levels or equivalent / Matric (university degree will be preferred).
  • Prior work experience in Warehouse environment responsible for both inbound & outbound.
  • Must be well versed with Sage / AccPac.
  • Valid light motor driving license is a must.
