EXTERNAL JOB VACANCY – ESWATINI NATIONAL TRUST COMMISSION (ENTC)


EXECUTIVE PERSONAL ASSISTANT TO THE CEO


PURPOSE

To provide high-level administrative, organizational, and strategic support to the Chief Executive Officer. To ensure seamless coordination of the CEO’s office, enabling effective leadership, governance, and stakeholder engagement. The incumbent acts as a trusted liaison, safeguarding confidentiality while enhancing the CEO’s efficiency and impact.


KEY PERFORMANCE (RESPONSIBILITY) AREAS

1. EXECUTIVE SUPPORT

  • Manage the CEO’s office, calendar, appointments, and travel arrangements with precision.
  • Prepare briefing notes, agendas, and documentation for board meetings, executive sessions, and stakeholder engagements.
  • Draft, edit, and proofread correspondence, reports, and presentations in alignment with ENTC’s governance standards.

2. GOVERNANCE & COMPLIANCE

  • Support the CEO in ensuring compliance with statutory, regulatory, and organizational requirements.
  • Coordinate submissions, reports, and documentation for the Board of Commissioners and relevant government ministries.
  • Maintain accurate records of executive decisions, ensuring accountability and transparency.

3. STAKEHOLDER ENGAGEMENT

  • Act as the first point of contact for internal and external stakeholders, managing communications with professionalism.
  • Facilitate effective relationships between the CEO, Board, government agencies, donors, and strategic partners.
  • Organize high-level events, meetings, and workshops that advance ENTC’s mandate.

4. INFORMATION & KNOWLEDGE MANAGEMENT

  • Maintain a secure filing and information system for the CEO’s office.
  • Ensure timely access to data, reports, and research that inform executive decision-making.
  • Monitor progress on strategic initiatives and provide updates to the CEO.

5. STRATEGIC & PROJECT SUPPORT

  • Assist in tracking implementation of ENTC’s strategic plan.
  • Provide administrative support for special assignments, including conservation, heritage, and organizational transformation initiatives.
  • Coordinate with the Corporate Strategy & Communications Officer to ensure alignment of executive priorities.

QUALIFICATIONS & EXPERIENCE

  • Bachelor’s degree in Business Administration, Public Administration, Law, Social Science or related field.
  • Minimum of 5 years’ experience in executive support, preferably within governance, conservation, or public sector institutions.
  • Demonstrated ability to manage complex schedules, confidential information, and high-level communications.
  • Strong knowledge of governance frameworks, compliance, and organizational protocols.

SKILLS & COMPETENCIES

  • Exceptional organizational and time-management skills.
  • Advanced written and verbal communication abilities.
  • High proficiency in MS Office Suite and digital collaboration tools.
  • Strong interpersonal skills with the ability to engage diverse stakeholders.
  • Discretion, integrity, and commitment to confidentiality.
  • Ability to synthesize information into clear, executive-ready outputs.

REPORTING LINE

  • Reports directly to the Chief Executive Officer.
  • Provides support to the Board of Commissioners and collaborates with EXCOM as required.

PERFORMANCE INDICATORS

  • Timely and accurate preparation of executive documentation.
  • Effective management of CEO’s schedule and priorities.
  • Compliance with governance and reporting requirements.
  • Positive stakeholder feedback on communication and coordination.
  • Contribution to the efficiency and impact of the CEO’s office.
